This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Reflect by Salus SMS performance check-in service ("Service"). When you opt in to the Reflect by Salus SMS service, we collect:
- Phone Number: Your mobile phone number, used to send and receive SMS messages.
- Name: Your name, for identification and personalization purposes.
- Performance Check-In Responses: Your responses to check-in prompts, which may include information about your physical readiness (e.g., readiness scores, energy levels, effort ratings, areas of discomfort or soreness, recovery focus).
- Message Metadata: Timestamps and delivery status of messages.
How We Use Your Information
We use the information we collect to:
- Send you recurring two-way SMS performance check-in messages after practices and competitions.
- Process and display your check-in responses to authorized coaching and training staff to support athletic performance and recovery decisions.
- Improve our service and check-in programs.
- Communicate important updates about the Service.
Physical Readiness and Injury Data
How injury and soreness data is handled:
- Check-in responses may include self-reported information about areas of physical discomfort, soreness, or injury location (e.g., "left ankle," "right shoulder").
- This information is visible only to authorized coaching and athletic training staff within your team's account. It is not accessible to other athletes or to the general public.
- This data is used solely for athletic performance and recovery purposes — to help coaches monitor workload and flag athletes who may need additional attention.
- We do not share this data with third parties, insurers, healthcare providers, or any external organization, except Twilio (our SMS delivery provider), which processes message content only to transmit messages.
- Reflect by Salus is a sports performance tool, not a healthcare provider. The information collected through this Service is not a medical record and is not subject to HIPAA. It does not constitute medical advice or treatment.
Information Sharing
We may share your information with:
- Coaching and Training Staff: Your check-in responses are shared with authorized athletics staff within your team to support athletic performance and recovery decisions.
- Service Providers: We use Twilio to deliver SMS messages. Twilio processes your phone number and message content solely to provide messaging services and does not use this data for any other purpose.
Mobile opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure.
Data Retention
We retain your personal information for as long as you are an active participant in the program and for a reasonable period thereafter for record-keeping purposes, unless a longer retention period is required by law.
Your Rights
You have the right to:
- Opt Out: Reply STOP to any message to stop receiving SMS messages at any time.
- Get Help: Reply HELP to any message for assistance.
- Access: Request access to the personal information we hold about you.
- Correction: Request correction of inaccurate personal information.
- Deletion: Request deletion of your personal information, subject to legal requirements.
